Golf-in-Japan – Terms and Conditions

These Terms and Conditions (“Terms”) govern your use of the Golf-in-Japan website (the “Site”) and the golf booking concierge services made available through it (the “Service”). The Site is operated by AIR Golf Media Co.,Ltd with its registered office in Tokyo, Japan. Golf-in-Japan connects golfers with courses across Japan and offers tee time booking concierge services. We may also introduce you to separate, licensed travel providers for full-package services (e.g., golf + hotel + transportation).

1. Definitions

In these Terms: “We”, “our” and “us” refer to AIR Golf Media Co.,Ltd, operating Golf-in-Japan. “You” refers to the person making the booking and all members of their group. “Booking Fee” means the non-refundable service fee charged by Golf-in-Japan for concierge services.

2. Acceptance of the Terms

By using our Site or Service, you acknowledge and agree to these Terms. If you do not agree, you must discontinue use of the Service. If booking for a group, you are responsible for ensuring that all members are aware of these Terms and for all costs incurred under your booking.

3. Your Responsibilities

You must provide accurate information when making a booking and ensure all players adhere to the golf course’s rules and regulations, including dress codes and conduct. You are liable for any damages or penalties resulting from your group’s conduct. You must comply with all payment terms and ensure timely communication with us for any changes.

4. Accuracy of Information

While we strive to ensure accuracy, Golf-in-Japan does not guarantee that all information—particularly content provided by third-party golf courses—is always complete, accurate, or up to date. Final pricing and availability will be confirmed during the booking process.

5. Price and Payment

Prices may change prior to booking confirmation. Promotions or discounts offered after a booking is confirmed will not apply retroactively. By making a payment, you agree to these Terms and authorize Golf-in-Japan to process payment via our designated payment gateway. Any applicable processing fees will be disclosed prior to payment.

6. Cancellations and Amendments by You

Our cancellation policy is as follows:
• The Golf-in-Japan booking fee is non-refundable.
• Changes to your booking are permitted at no additional charge (subject to course availability).
• More than 7 days before play date: No penalty (except booking fee).
• 6–3 days before play date: 30% of the green fee will be charged.
• 2 days before play date: 50% of the green fee will be charged.
• Less than 48 hours before play date or no-show: 100% of the green fee will be charged.
Reducing the number of players may result in higher per-person rates or additional fees imposed by the course.
All cancellations or changes must be made in writing via email to bookings [at] golf-in-japan.com (bookings[at]golf-in-japan[dot]com)

7. Cancellations and Amendments by Us

In rare cases, we may need to amend or cancel your confirmed booking due to course availability, operational issues, or force majeure events (e.g., extreme weather, pandemics, government restrictions, transportation strikes). We will inform you as soon as possible and offer either a refund (excluding non-refundable fees) or assistance in finding an alternative.

8. Scope of Service & Third-Party Providers

Golf-in-Japan provides tee time booking concierge services only. We are not a licensed travel agency. If you choose a full-package tour (including accommodation, transportation, and other travel services), we may introduce you to a licensed third-party travel provider. Any contractual relationship for such packages will be solely between you and that provider. Golf-in-Japan assumes no liability for the actions, omissions, or service quality of third-party providers, including golf courses and travel agencies.

9. Travel Insurance

We strongly recommend that you obtain comprehensive travel insurance to protect against unforeseen events such as cancellation, medical emergencies, or lost property. Golf-in-Japan does not provide insurance.

10. Special Requests

Any special requests (dietary, medical, or otherwise) must be communicated at the time of booking. We will pass these on to the relevant course or provider, but fulfillment is not guaranteed.

11. Privacy & Data Protection

We collect and process personal data in accordance with our Privacy Policy, available on our Site. By using our Service, you consent to such processing.

12. Intellectual Property

All content on our Site, including text, images, and logos, is the property of AIR Golf Media Co.,Ltd or its licensors and may not be reproduced without prior written consent.

13. No Warranty

The Site and Service are provided “as is” without any warranty, express or implied, including but not limited to fitness for a particular purpose or uninterrupted availability.

14. Limitation of Liability

To the fullest extent permitted by law, Golf-in-Japan shall not be liable for:
• Any loss, damage, or delay caused by third-party providers, course policies, or force majeure events.
• Any indirect or consequential losses.
Our total liability to you for any claim arising out of the Service will not exceed the total amount paid for your booking.

15. Dispute Resolution

In the event of any dispute, both parties agree to attempt resolution through good-faith negotiation before initiating legal proceedings.

16. Governing Law and Jurisdiction

These Terms are governed by the laws of Japan. Any disputes will be subject to the exclusive jurisdiction of the Tokyo District Court.

17. Changes to the Terms

Golf-in-Japan reserves the right to update these Terms at any time without prior notice. Continued use of our Site or Service after changes are posted will constitute acceptance of the revised Terms.
